Maintenance Requests, Vendors, and the Reserve Fund

How maintenance works on Slivvy

Every asset has a maintenance log, an approved vendor list, and a reserve fund. Any co-owner can flag an issue, and the group resolves it together — no one has to be the unpaid building superintendent.

Submitting a request

  1. From the asset page, tap Report an issue
  2. Add a description, photos, and an urgency level (routine, important, emergency)
  3. Optionally suggest a vendor from the approved list
  4. Submit — co-owners get notified

Emergency maintenance

Burst pipes, broken AC in summer, water leaks on a boat — issues that can't wait. Mark them as emergency and use the asset's 24/7 emergency contact number. The cost is paid from the reserve fund first, with documentation submitted after the fact.

The vendor list

Each asset keeps a list of approved vendors — cleaner, landscaper, pool service, mechanic, captain, etc. — with names, phone numbers, and notes. Any co-owner can call directly. Slivvy is not a property manager, but the directory keeps everyone working from the same playbook.

Paying vendors

Two common patterns:

  • Pay personally, then get reimbursed. Submit the receipt; co-owners confirm; reimbursement comes from the reserve fund.
  • Vendor invoices the LLC. Upload the invoice; co-owners approve; Slivvy pays directly from the reserve fund.

The reserve fund

The reserve fund is the LLC's checking account for shared expenses. It's funded by:

  • Monthly reserve contributions from every share
  • Overage fees from owners who use more than their allocation
  • Special assessments (when the group votes one)
  • Insurance proceeds (when applicable)

You can see the current balance, recent transactions, and upcoming scheduled expenses on the asset dashboard.

Capital improvements

Renovations, new roofs, engine overhauls — anything that goes beyond routine repair triggers a capital improvement proposal. Any co-owner can propose one, upload quotes, and call a vote under the Operating Agreement's voting threshold. If it passes, the cost is split per the agreement and the work is tracked through completion.

Preventive maintenance

The asset's calendar includes scheduled preventive tasks (HVAC filter changes, boat winterization, oil changes). Slivvy reminds the group when each is due so nothing slips.
